FuelPlus supports tender process with new Tender module
Starting with FuelPlus Release 4.2, available Q3/2008, FuelPlus offers the new module "Tender" that enhances the functionality of FuelPlus by supporting tender preparations and negotiations in the fuel management process.
- create tenders by using volume forecast plans calculated in the FuelPlus Planning module,
- capture and normalize bids, and
- create contracts in the FuelPlus Purchasing module based on awarded bids.
The Tender module was already presented at Lufthansa, and the feedback was entirely positive. "I had the opportunity to test the pilot of the new Tender module", says Helmut Fredrich (Vice President Corporate Fuel Management), "and I was impressed by the functionality offered already in the first release. The Tender module will not only make bid comparisons easy, but will help to avoid mistakes and save administration with the automatic creation of contracts and award information. Furthermore, auditors and financial controllers will like the automatic audit trail, which also saves work for the fuel buyer."
How the Tender Module works
When a current contract expires, or when a new location needs a supply and/or a service contract, a user sets up a new tender in FuelPlus, including all information relevant for the bidding counterparties. A tender can cover several locations that need additional supply. So for each tender location, a user enters the required fuel volume or the estimated events. To simplify this process, it is also possible to select a contract that will expire soon, and to copy a tender location based on the contract data.
After all details are specified, the user can export the tender into an external file for further processing by office tools, for example to generate a tender form for publishing purposes.
When receiving the bids from the counterparties, their details can be entered in FuelPlus and assigned to the tender locations to which they apply. The system normalizes the prices of each bid and evaluates them. This normalization takes differences between the particular bids into account, such as different payment terms or product types. To get an overview on the bids and the evaluation, a user can list all bids for one tender location, sorted by their ranking.
Finally, the user awards the bid to the tenderer that shall be the future supplier. As a result, the system automatically creates a new contract, and the details that are defined in the tender and the bid are transmitted automatically into this contract. The tender module further takes care of generating proper tender documentation for auditing purposes.
